Email Automation
Email Automation is a powerful feature that allows you to automatically send personalized emails to respondents based on their form submissions. This can be incredibly helpful for streamlining communication, providing instant confirmation to users, or sending updates. By using Email Automation, you can enhance the user experience and improve internal workflows.
What You Can Do with Post-Response Emails
- Send Confirmation Emails: Automatically send a confirmation email to respondents after they submit a form.
- Internal Notifications: Notify your team whenever a form is submitted.
- Order Delivery Emails: Inform customers about their order status based on their form responses.
Important Notice: Beta Access Required
The Email Automation Integration feature is currently in Beta. To use this feature, you must first request access by filling out the form on the Email Automation Integration page.
How to Request Access:
- Open the Form: Start by opening the form you want to edit.
- Navigate to Integrations: On the left menu, click on the "Integrations" option.
- Find Email Automation: Scroll down until you find the "Email Automation" option.
- Add Integration: Click on "Add integration" next to the Email Automation option.
- Request Access: This will open the Email Automation Integration page where you can submit the access request form.
Once you have access, follow the steps below to set up your email automation.
Step 1: Open the Email Automation Integration Page
- Find Email Automation: Find the "Email automation" option on the "Integrations" page and open the Email automation Integration page by clicking on the gear icon on the right.
- Use Liquid template syntax to reference form answers within your email's address, subject line, and message fields. For example:
- Address Field: Use the respondent’s email from the form response.
- Subject Line: Customize the subject line using form responses.
- Message Field: Personalize the email content with specific answers.
Step 2: Collect Block IDs
You can reference answers in both the address, subject line, and message fields using Liquid syntax, like {{ answers.BLOCK_ID }} where BLOCK_ID is the ID of the form block in Reform. To get the ID for a block:
- Open the Form Builder: Navigate to the form builder page by clicking on the “Builder” option from the menu on the left.
- Find the Block ID: Click the small ⚙️ icon next to the form block you would like to use.
- Copy the Block ID: Select "Copy ID" to copy the unique identifier for that block.
Step 3: Compose Your Email
Once you have the ID handy, you can use it to compose your post-response email.
Tips for Effective Email Automation
- Personalization: Use form responses to tailor each email, making it more relevant and engaging.
- Testing: Always send test emails to ensure that the Liquid syntax is correct and the email content looks as expected.
- Updates: Regularly update your email templates to keep them current and aligned with your brand’s tone and style.
- You can always turn on and off the integration from the toggle next to “Email automation” on the Integrations page.
By following these steps, you can effectively utilize email automation to enhance your communication with respondents, improve internal workflows, and ensure timely delivery of order updates.
